DeskFlex Personal Data Policy

DeskFlex Inc. collects the very basic personal data of its users and clients via direct contact and web forms submission and is responsible for ensuring that your data is handled according to applicable laws. This personal data policy is valid from 25 May 2018.

Using DeskFlex service implies that you have read and agreed to our Personal Data Policy. Accepting the DeskFlex Personal Data Policy is voluntary and will allow DeskFlex to view, store and process your data. You will be unable to use the DeskFlex service without submitting the required personal data.

This Personal Data Policy applies to all DeskFlex users regardless of what device type you are using to access our services. Personal Identifiable Data that we collect includes the information you choose to submit at the time of contact.

DeskFlex collects and handles the personal data of EU users in compliance with the General Data Protection Regulation (GDPR) and other applicable laws. The main focus of the General Data Protection Regulation is individuals’ right to protection of their personal data.

Purpose of and support for processing

DeskFlex may use Personal Data for the following purposes:

To provide, maintain, and improve our service: it also includes the monitoring pages, date, time, and location while using our service.

To manage your Account: We use your Personal Data for maintaining and managing service subscriptions. The Personal Data collected lets you access the premium features and functionalities.

For the performance of a contract: Your personal information is used in the process of development, compliance, and undertaking of the delivery of service contract with the company.

To contact You: The email address and the phone number may be used to contact the user for communication, send notifications, news, and updates to keep the user in touch with the necessary information (i.e., Security updates, information related to new features, and contract expiry or update).

To provide the User with the latest updates in service policies, news, special offers, and support service. The user can anytime opt not to receive any of this information from application settings.

To manage Your Service requests: Your personal information may be used to provide you service support or service for registered users.

For business transfers: In case of a merger, restructuring, dissolution, sale, transfer, bankruptcy, or liquidation of the company, we may transfer all or part of our assets to the partner/ buyer. All users’ personal information for delivery of service at the time of transfer will also be transferred to the acquiring company as a part of the asset transfer.

For other purposes: The personal information of the user may be used for analytical purposes. Such analysis is carried out to determine the customer choice, trends, and effectiveness of our service updates. We use the results to improve the service standards to enhance customer experience.

  • With Service Providers: We are using third-party service for certain features and functionalities. The personal information collected may be disclosed to our service providers according to the terms and conditions of the service contract.

Retention of Your Personal Data

DeskFlex uses the company’s servers or your device to store log files necessary for the delivery of service. All the data collected with the user’s permission or while using the service is retained as long as the user has a registered account with us. When a client quits using our service, we delete all the related personal information and usage data within a specific time period. We only retain crucial data for our legal obligations, resolving disputes, and legal agreements and policies.

Your Rights as a Data Subject

You have rights as a data subject. These rights are:

  1. The right to be informed. We must inform you how we will use your personal data through our privacy policy and disclose how your data will be used each time we collect it.
  2. The right of access. You have the right to access your data that we hold. This is called a subject access request. We must respond to your request within one month. To request access to your data, please email privacy@deskflex.com. It is beneficial if you tell us what of your personal data you are seeking.
  3. The right to rectification. If you think the data we hold on you is incorrect, let us know so we can update it. You can do this by using any contact method provided at the end of this Personal Data Policy.
  4. The right to erasure. You have the right to request that we delete your data. We will do so, provided that we do not have a compelling reason for keeping it. To request this, please email privacy@deskflex.com.
  5. The right to restrict processing. You can change your communication preferences (therefore restricting how we communicate with you) by using any contact method provided at the end of this Personal Data Policy.   7. The right to object. DeskFlex does not use personal data for direct marketing and automated decision-making.

Transfer of Your Personal Data

User Personal Information is not transferred and disclosed to any 3rd party. Personal data is only being stored in EU region and not transferred to any other country outside the EU.

DeskFlex respects the privacy of our users’ personal information. Under no circumstances is it disclosed to any company or used for any purpose that is not stated in our Personal Data Policy. We use sophisticated data transmission techniques to provide 100% secure data transmission over local and public networks.

DeskFlex uses industry-standard efforts to safeguard the confidentiality of your Personal Identifiable Data, such as firewalls and SSL (secure socket layers). We make every effort to protect the loss, misuse, and alteration of the information under our control. However, data transmission over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

Data Security

DeskFlex takes appropriate technical and organisational steps to ensure the security of personal data. DeskFlex ensure that appropriate protection and security measures are taken against unlawful or unauthorised processing of personal data, and against the accidental loss of, or damage to all personal data.

External Processors

DeskFlex ensures that data processed by external processors, for example, service providers, Cloud services including storage, websites etc. are compliant with this policy and the relevant legislation. 

Data Breach

DeskFlex has a process in place about data breach including reporting of the data breach within 72 hours to the relevant authority or client.

Reseller

Tillerstack GmbH is our reseller in EU and compliant with this policy and the relevant legislation. 

Amendments to Our Policy
